Introduction
This memo outlines the proposed workflow for vendor application to get on the pre-approved list. The process is designed to ensure transparency, integrity, and efficiency in vendor selection and management. The workflow includes Know Your Customer (KYC) procedures, transparent pricing and packages, and a clear selection and partnership process.
Vendor Approval Workflow
1. Know Your Customer (KYC): The KYC process is the first step in the vendor application workflow. It involves collecting and verifying information about the vendor's business operations and individuals. This includes the names of the company’s directors, business addresses, company numbers, and so on. The KYC process ensures that the vendors we do business with are legitimate and acting legally.
2. Transparent Pricing & Packages: Vendors are required to provide transparent pricing and packages. This includes a detailed price list for their services or products. This transparency allows us to plan and budget for additional growth and ensures that we can validate the discounts offered by the vendors and factor in costs grant recipients can spend on services.
3. Selection and Partnership Process: The selection process involves several steps, including analyzing business needs, making a list of potential vendors, meeting potential vendors, reviewing Request for Proposals (RFPs), and finalizing vendor selections. The partnership process involves establishing a clear agreement on project details, pricing, deadlines, services, and more.
Vendor Application Process
1. Submission of Application: Vendors interested in becoming pre-approved must submit a comprehensive application that includes their business details, KYC information, and a detailed price list of their services or products.
2. Review of Application: The application is reviewed by SpecOps team to ensure it meets Arbitrum project business needs and compliance requirements. This includes verifying the information provided in the KYC process and assessing the pricing and packages offered by the vendor.
3. Selection Process: Vendors that meet our requirements are shortlisted and further evaluated based on our selection criteria. This includes factors such as the quality of their services or products, their pricing, their reputation, and their ability to meet our business needs. The Roundtable will approve Service Providers once monthly.
4. Approval and Onboarding: Selected vendors are approved and onboarded. This involves finalizing the terms of our partnership, setting up accounts, and integrating them into our systems.
5. Maintenance of Pre-Approved List: The pre-approved list is regularly updated to reflect any changes in our vendor relationships. This includes adding new vendors, removing vendors that no longer meet our requirements, and updating the details of existing vendors.
